100,000 Doors

Program terms

These terms govern the 100,000 Doors program. They are written to be read by a board, a manager and an attorney without a translation.

1. What this is

One year of Verified Governance for one association, at no charge, self-funded by TrueHOA. The program covers up to 100,000 doors in total across every association in it.

2. How the agreement forms

On TrueHOA's written approval, not on submission of the form. An application is not a grant.

3. Who may enroll

A board officer or the manager of record. Before a grant is recorded, a person at TrueHOA confirms the applicant's role. Where the state's corporate filing lists officers, we check it. Where it does not, we confirm with a second officer or the manager of record. TrueHOA may decline an application it cannot confirm, and may withdraw a grant obtained on a false statement.

4. What is included

Verified Governance for every home on the roster: unlimited elections, the roster importer, the proposal assistant, ballot delivery and reminders, a public audit page for every finalized election, and support by email. The grant covers TrueHOA's fee and nothing else. It does not replace your manager, your attorney, or your inspector of elections.

5. The program year

The year starts on the approval date and runs twelve months. An election created inside the year runs to its close even if the year ends first.

6. The end of the year, and leaving early

Nothing renews on its own. When the year ends, the account moves to the free tier, sealed records stay public, and a roster export is available on request. Renewal is a board decision at the published price, and renewal notices go to the administrator of record and the board together. The association may end its participation at any time by written notice, with no penalty and nothing owed.

7. The ceiling and the window

100,000 doors across the program. Applications close March 31, 2027, or when 100,000 doors are granted, whichever comes first. A granted door that is not activated within 30 days after its scheduled vote returns to the pool.

8. Portfolios

A portfolio application reserves doors. Each association is recorded as granted only when its own board contact is confirmed. The management company confirms that each association's board has authorized, or will authorize before activation, the use of TrueHOA for the vote listed.

9. Your data

The association owns its roster. TrueHOA does not sell it and does not market to owners. Owner email addresses are used for that association's ballots and notices and nothing else. On request TrueHOA deletes the working roster and closes the account. The sealed record of a completed election, including its participation list, is permanent and public and cannot be withdrawn once sealed. Read a record before you enroll and you will see exactly what becomes public.

10. Naming

An association is named on the program ledger only with the board's consent, and a link to its record appears only after its first sealed election. Consent can be withdrawn for future listings.

11. Roles and responsibility

The association stays responsible for its own election: notice, the inspector of elections, paper ballots, and compliance with its statute and its governing documents. TrueHOA does not act as inspector of elections, does not certify results, and does not print or mail notices or ballots. TrueHOA is a technology company, not a law firm, and nothing it publishes is legal advice.

12. Administrator of record

Where a management company is named, it takes the administrator seat. On the board's instruction the seat transfers to a new manager, and the grant stays with the association.

13. Limitation of liability

TrueHOA's total liability under this program is limited to the published price of Verified Governance for the association's doors for twelve months, calculated at TrueHOA's published rate on the approval date. TrueHOA is not liable for indirect or consequential damages.

14. Changes

TrueHOA may change these terms for future applicants. The terms in effect on an association's approval date govern its year.
